Cancellations & Refunds

This pages includes important information about cancellation policies for room bookings; deposit and refund policies for rooms; and for deposits, cancellations and refunds for dining.

This document should be read in conjunction with  our standard Terms & Conditions.

Cancellation Policies for Room Bookings

Cancellation policy is determined by the type of booking that is made. There are three policies as described below. Bookings made through third parties shall be governed by the party through which the booking was made.

GENERAL (applies to all policies)

  • Cancellations may only be made by the person who made the booking
  • Cancellation requests by telephone must be confirmed by email to relax@foxandhoundshotel.co.uk by 6.00pm on the day of cancellation
  • Failure to show or contact the hotel by 9.00am after the day of check-in will result in the cancellation of the entire reservation.
  • We strongly recommend short stay travel insurance with cancellation cover to protect against loss, as we are unable to make exceptions to this policy

Cancellation Policy A

APPLIES TO ALL BOOKINGS EXCEPT THOSE DESCRIBED IN POLICIES B and C

  1. Cancellations are free up to 48 hours prior to 3.00pm of the day of check-in
  2. Cancellations made after 3.00pm 48 hours before the day of check-in are subject to a charge equal to the full cost of the first 48 hours of the reservation, minus any deposit, which will be retained.

Cancellation Policy B

APPLIES TO TREEHOUSE BOOKINGS AND CHRISTMAS & NEW YEAR PACKAGES

  1. Cancellations are free up to 4 calendar weeks prior to 3.00pm of the day of check-in
  2. Cancellations made after 3.00pm 4 calendar weeks before the day of check-in are subject to a charge equal to the full cost of the complete reservation, minus any deposit, which will be retained.

Cancellation Policy C

APPLIES TO GROUP BOOKINGS

  1. Cancellations are free up to 4 calendar weeks prior to 3.00pm of the day of check-in
  2. Cancellations made after 3.00pm 4 calendar weeks before the day of check-in but before 48 hours prior to check-in shall not be charged, but the deposit shall be forfeit.
  3. Cancellations made after 3.00pm 48 hours before the day of check-in are subject to a charge equal to the full cost of the first 48 hours of the reservation, minus any deposit, which will be retained.

Deposit Refund Policy for Room Booking

  1. Deposits are only required for Group and Treehouse bookings and for Christmas and New Year packages
  2. Deposits are fully refundable up to 4 calendar weeks prior to 3.00pm of the day of check-in
  3. Deposits will not be refunded if a cancellation is made after 3.00pm, 4 calendar weeks prior to the day of check-in.
  4. A forfeit deposit may be transferred to an alternate booking date, providing the new date is within 12 calendar months of the original booking date. The new date must be advised within 7 days of the cancellation of the original booking.
  5. We strongly recommend short stay travel insurance with cancellation cover to protect against loss, as we are unable to make exceptions to this policy

Dining Deposits, Cancellations and Refunds

  1. Deposits are only required for group bookings of 10 or more people
  2. Deposits for group bookings is equal to £10/person in the group.
  3. Deposits for group bookings are fully refundable up to 48 hours prior to the reservation time. Cancellation after this time shall result in the forfeiting of the deposit
  4. For cancellations of non-group reservations, please notify us as early as possible so allow us to offer your booking to another customer
  5. Failure to arrive within 30 minutes of your reserved time, without prior notification shall be treated as a cancellation of your booking.
